Accounts Receivable Specialist

Role overview

SOCi is an AI-powered marketing solutions company serving nearly 1,000 multi-location brands including Ford, Ace Hardware, and Kumon. As an Accounts Receivable Specialist, you will manage the complete receivables lifecycle for the company, working collaboratively with Customer Success, Sales, and Finance teams to maintain strong cash flow and ensure accurate billing and collections.

Key responsibilities

  • Manage the shared billing inbox by responding to customer inquiries and addressing questions regarding billing, contracts, payments, and escalations within established service level agreements.
  • Coordinate customer billing setup, including vendor form completion, portal configuration, and collection of sales tax exemption certificates while ensuring compliance with company formatting and platform requirements.
  • Submit invoices to customer portals on weekly, bi-weekly, or monthly schedules in required formats and proactively follow up on outstanding invoices through phone and email contact.
  • Apply payments and credit memos to customer accounts, reconcile discrepancies, and manage overpayments and refunds for cancelled customers.
  • Monitor accounts for timely payment, prepare aging reports, flag at-risk accounts, and escalate payment issues before they become delinquent.
  • Oversee dunning automation processes, monitor customer cancellations, assist with quarterly bad debt reserves and write-off activities, and provide monthly updates on high-priority accounts to senior leadership.
  • Maintain strong working relationships with customers and internal teams by actively monitoring Slack channels and responding promptly to communications.

Requirements

  • Minimum two years of experience in Accounts Receivable, Billing, or a related finance role.
  • Advanced proficiency with Excel, including complex formulas, LOOKUP functions, PivotTables, and SUMIF.
  • Experience with vendor portals and payment platforms, and familiarity with subscription-based service contracts.
  • Strong organizational skills with excellent attention to detail, and effective written and verbal communication abilities.
  • Understanding of basic accounting principles and billing best practices, with the ability to handle sensitive information with integrity and confidentiality.
  • Experience with NetSuite, Tesorio, Maxio, Salesforce, or Avalara is preferred, as is basic knowledge of AI tools with willingness to adopt them for process efficiency.
