As Lead, Workplace Operations, you will own the end-to-end physical workplace experience across all Wealthsimple hubs in Canada and the US, reporting to the Senior Manager, Real Estate Operations within People Operations.
Key responsibilities
- Develop and execute the annual workplace operations roadmap across all hubs, setting priorities aligned with departmental goals and driving programs from conception through full implementation.
- Serve as the primary escalation point for operational issues that lack established procedures, making independent decisions to resolve complex workplace challenges.
- Manage day-to-day workplace operations including building systems, facilities, food and beverage services, and physical spaces, establishing consistent service standards across all locations.
- Oversee the complete lifecycle of physical spaces and maintenance across all locations, including preventive and reactive maintenance, capital planning, moves, and refurbishments while protecting business continuity.
- Lead vendor and contract management activities, including sourcing, vetting, RFP development, SLA negotiation, and ongoing performance management to ensure cost, quality, and service accountability.
- Manage the workplace operating budget across all hubs, setting annual spending envelopes, allocating resources across programs and sites, and driving cost optimization without compromising service standards.
- Establish and maintain a visible, proactive health and safety framework across all locations that complies with regulations in Ontario, other Canadian provinces, and US states.
- Use ticketing, utilization, occupancy, and service data to identify operational bottlenecks, build scalable solutions, and inform portfolio planning decisions.
Requirements
- Six to eight or more years of direct experience in Workplace Operations, Facility Management, or Property Management with genuine ownership of programs, budgets, and vendor relationships.
- An established network of contractors, trades professionals, and facilities vendors with demonstrated capability to vet partners and hold them to high standards.
- Hands-on experience managing minor works and moves from scope through completion, including budget management, contractor oversight, business continuity protection, and consistent execution regardless of who manages locally.
- Demonstrated experience with contract development, RFP processes, and SLA negotiation and management.
- Data-driven mindset with the ability to build measurement frameworks, use analytical tools including AI for reporting and pattern identification, and translate data into operational decisions.
- Working knowledge of Ontario’s Occupational Health and Safety Act along with building code and fire safety requirements, with the judgment to keep compliance frameworks current as regulations evolve.
- Strong communication skills and comfort navigating change, with the ability to clearly explain operational shifts and their rationale to broad audiences.
